If food isn't stored at safe temperatures, nothing else matters. Temperature records are the most critical SFBB document --- and the one where gaps have the most severe consequences. Here's everything you need to know about fridge, freezer, and hot hold logging.

The danger zone

Here's the uncomfortable truth: if your food isn't stored at safe temperatures, every other food safety measure --- your cleaning schedule, your staff training, your supplier checks --- becomes secondary. Temperature control is the single most important barrier between safe food and food poisoning. Bacteria multiply fastest in the "danger zone" between 8°C and 63°C --- and without temperature records, you're flying blind about whether your food has been in that zone.

EHO priority

This is why EHO inspectors place enormous weight on temperature records during an inspection. A business with perfect cleaning but missing temperature logs will still fail. The logic is simple: cleaning prevents contamination, but temperature control prevents bacterial growth. Both are essential, but temperature failures lead to illness faster and more directly.

Early warning system

Temperature records also serve as an early warning system. A fridge that's running at 7°C today might be at 9°C tomorrow and 14°C the day after. Consistent temperature logging catches that upward trend immediately --- you can call an engineer before food is compromised. Without logs, you only discover the problem when you open the fridge and feel warm air, by which point the food may already be unsafe.

Temperature control zones

The three temperature zones.

Every food business operates across three temperature zones. Each has a target range and a legal limit --- and knowing the difference is critical:

Fridges
1°C --- 5°C
Legal max: 8°C
Cold storage for high-risk foods including raw meat, fish, dairy, and prepared foods. The target range of 1-5°C gives you a 3°C buffer before hitting the legal maximum of 8°C. If your fridge consistently runs at 6-7°C, it's technically legal but leaves no margin for error --- a warm day, a busy service, or a door left open can push it over 8°C.
Freezers
-18°C or below
Legal max: -18°C
Deep frozen storage for long-term food preservation. Unlike fridges, there is no lower bound (colder is always better). The legal maximum is -18°C --- any warmer and food is not considered properly frozen. Freezer temperature fluctuation during defrost cycles is normal and should be noted in records.
Hot Holding
63°C or above
Legal min: 63°C
Hot food held for service must be maintained at 63°C or above. Below this temperature, bacteria can multiply. Hot holding equipment must be pre-heated before food is placed in it. Food can be kept below 63°C for one period of up to 2 hours --- after that, it must be discarded or rapidly cooled to below 8°C.
Temperature check frequency

How often to check temperatures.

Temperature checking frequency is not arbitrary --- it's based on risk. The more critical the temperature control, and the more opportunity for temperature to drift, the more frequently you check:

At least twice daily
Fridges
Check at opening (to confirm overnight performance) and at closing (to confirm service-day performance). High-risk operations should add a mid-service check around 2pm. Each fridge and cold display unit should be checked individually --- don't assume all units perform the same.
Every 2 hours during service
Hot Holding
Hot held food should be temperature-checked at minimum every 2 hours. In practice, many operations check hourly during peak service. Record the core temperature (the centre of the food, not the surface) for each hot holding unit. If you're holding multiple items, check the one with the largest volume --- it's the one most likely to be under-temperature at its core.
At least daily
Freezers
Freezers are more stable than fridges and less prone to temperature drift, but daily monitoring is still required. A daily check confirms the unit is operating normally. Many businesses check freezers once per day at opening. Like fridges, each unit should be checked individually.
Probe thermometer requirements

Probe thermometer requirements.

Your temperature records are only as accurate as your thermometer. The FSA requires that probe thermometers used for food safety checks meet these specifications:

Accuracy to ±0.5°C. Your thermometer must be accurate to within half a degree Celsius. Digital probe thermometers easily meet this standard; analogue dial thermometers often do not. If you're using an analogue thermometer, check its specification --- many are only accurate to ±1-2°C, which is not sufficient for food safety verification.

Calibrated regularly. Thermometers drift over time. The FSA expects you to calibrate your probe thermometer at minimum every 6 months, and ideally more frequently. The simplest field calibration method is the ice-water method: fill a cup with crushed ice and water, stir, insert the probe --- it should read 0°C (±0.5°C). Alternatively, boiling water should read 100°C (adjusted for altitude). Record calibration checks in your SFBB diary --- the EHO will ask to see them.

Cleaned and disinfected between uses. A probe thermometer inserted into raw meat and then into cooked food without cleaning is a cross-contamination vector. Use disposable probe wipes or sanitising solution between each measurement. This is particularly critical when checking both raw and ready-to-eat foods during the same service period.

Temperature records and actions

What to record and what to do when things go wrong.

Every temperature check must record six pieces of information: date, time, temperature reading, equipment ID (e.g. "Fridge 2" or "Hot Hold Unit A"), who checked it, and any corrective action taken. If temperature is within range, the corrective action field can be left blank or marked "OK." But when temperatures are out of range, this field becomes the most important part of the record.

Corrective actions for common breaches

Fridge above 8°C
- Critical
Immediately move all high-risk food to a working fridge. If no working fridge is available, move food to a cold room or ice bath. Call an engineer. Record: time breach was discovered, which food was moved, where it was moved to, engineer call time. Do not use the affected fridge until it has been repaired and re-tested --- record the re-test temperature before returning food.
Hot hold below 63°C
- Critical
Reheat the food to above 75°C immediately (this kills any bacteria that may have multiplied during the temperature drop). The food can then be hot held again at 63°C+ or served within 2 hours. If the food has been below 63°C for more than 2 hours, or if you don't know how long it has been below 63°C --- discard it. Document: time discovered, reheat temperature achieved, time food returned to service, or time and reason for discarding.
Freezer above -18°C
Urgent
Check if a defrost cycle is in progress (many modern freezers defrost automatically --- this is normal and temporary). If the temperature remains elevated after 30 minutes, check seals and door closure. Move food to a backup freezer if available. If food has begun to thaw, assess it: food that is still frozen solid (below -5°C) can be safely refrozen. Food that has fully thawed must be treated as chilled food --- use within 24 hours or discard.
Digital temperature logs

Why digital logs eliminate gaps.

Paper temperature logs suffer from the same problem as all paper-based food safety records: they're only as reliable as the person filling them in. During a busy service, temperature checks get skipped. At the end of the night, someone fills in plausible-looking numbers. An EHO inspector seeing a temperature log where every entry is exactly 4°C for two weeks knows exactly what happened --- and will dig deeper into everything else.
